How to Build a Tracking Plan Template Your Team Will Actually Use
Most tracking plans fail within months: spreadsheets go stale, no one owns them, and nothing is enforced. Here's how to build one that holds up.
Most teams have a tracking plan. Very few teams have a tracking plan their team actually uses. The gap between those two things is where analytics data quality falls apart.
This guide covers what makes a tracking plan template work in practice, how to build one from scratch, and the common mistakes that turn a promising document into an ignored spreadsheet within six months.
Why most tracking plans fail
Before designing a template, it helps to understand why the last one did not work. The failure modes are consistent.
Spreadsheets go stale by design. A spreadsheet is a static document. Every time an engineer ships an analytics change, someone has to remember to update the plan. They usually do not. Within a few sprints, the plan and the codebase have diverged - and once the team stops trusting the plan, they stop using it.
No one owns it. “The analytics spreadsheet” lives in a shared drive. Everyone can edit it; no one is responsible for it. When ownership is diffuse, accuracy degrades. Events get added without review. Deprecated events are never marked. Property types are left blank because nobody knows who to ask.
No versioning. When the schema for checkout_completed changes - a new required property, a renamed field - there is no record of what it looked like before. You cannot debug a data anomaly from last quarter because you cannot see what the event schema was last quarter.
No enforcement. The plan says amount is a required decimal. Your Android developer ships it as a string. The spreadsheet does not know. Your BI tool silently drops the rows. Your revenue dashboard is now wrong.
The template you design needs to account for these failure modes from the start.
What a good tracking plan template looks like
A good tracking plan template has a consistent structure for every event. Each event entry should capture:
- Event name - the exact string sent to your analytics provider. Agree on a casing convention (snake_case or Title Case) and enforce it everywhere.
checkout_completedandCheckout Completedare both fine; mixing them is not. - Description - what triggers this event and why it matters. “Fires when a user completes checkout after confirming payment” is useful. “Checkout event” is not. The description should be detailed enough that someone unfamiliar with the feature can understand when and why it fires.
- Properties - every field in the event payload. For each property: name, data type (string, integer, boolean, enum), whether it is required, and for enums, the allowed values.
- Platforms - which platforms implement this event: iOS, Android, web, backend, or some combination. An event that exists on web but not mobile is a known gap, not a mystery.
- Owner - the team or person responsible for keeping this event accurate. Without a named owner, nobody is accountable when the data goes wrong.
- Status - active, deprecated, or planned. Deprecated events should stay in the plan; removing them erases institutional memory. Mark them clearly so analysts know to exclude them.
Step-by-step guide to building a tracking plan from scratch
Step 1: Define your core metrics first
Do not start by listing every event your product might ever need. Start with the metrics your team actually makes decisions from. For most products, this is five to ten events: the key conversion points, the primary engagement signal, and the revenue moment.
Work backwards from the metric to the event. If your north star is weekly active users, what does an “active” action look like in your product? Define that event first.
Step 2: Name events with a consistent pattern
Choose one naming pattern and document it before writing any event names. The two most common:
- Object-action:
Cart Item Added,Subscription Cancelled,Report Exported. Recommended - sorts cleanly by object in alphabetical lists. - snake_case verb-past:
cart_item_added,subscription_cancelled. Preferred by engineering-heavy teams, easier to use as code constants.
Use past tense. Events record things that happened. Form Submitted not Submit Form.
Step 3: Define properties with types
For each event, list every property it carries. Assign a type to each one:

Mark each property as required or optional. If a required property is missing at runtime, that is a bug - the event should not fire without it.
Step 4: Assign owners and statuses
Every event gets an owner. This can be a team (Product, Growth, Engineering) or a specific person. The owner is responsible for keeping the event definition accurate when the feature changes.
Set an initial status for every event: active if it is currently implemented, planned if it is on the roadmap, deprecated if it should no longer be used. Review statuses quarterly.
Step 5: Review before shipping
Establish a review process: no new analytics event ships without a corresponding tracking plan entry that has been reviewed. This can be as lightweight as a PR comment or as formal as a dedicated analytics review. The key is that the plan is updated before the code ships, not after.
Common mistakes to avoid
Tracking everything instead of what matters
The instinct to capture every user interaction produces a bloated plan that nobody maintains. Start with what you measure, not everything you could measure. Fifty well-defined events beat five hundred poorly maintained ones.
Skipping the description
Event names are terse by necessity. The description is where you capture the nuance: which user actions trigger it, what counts and what does not, edge cases. A tracking plan entry without a description is technically incomplete.
Leaving property types blank
“I will fill that in later” means it never gets filled in. Untyped properties are how you end up with amount being a string on iOS and a float on Android, which is how your revenue numbers stop adding up. Type every property when you define the event.
No deprecation process
Events accumulate. Features get reworked. The old experiment_v2_button_clicked event is never removed from the plan, just forgotten. Over time, analysts cannot tell which events are active and which are archaeological artifacts. Mark deprecated events clearly and review them in your quarterly audit.
One owner for the whole plan
Centralizing ownership in one data analyst or one product manager creates a bottleneck. When that person leaves or gets reassigned, the plan decays. Distribute ownership at the event level, with a single DRI (directly responsible individual) for each event or event group.
